Privacy Policy
How we collect, use, and protect your information.
Contents
This Privacy Policy explains how InsureCore LLC (“InsureCore,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards personal information when you visit insurecore.ai (the “Site”) or use the InsureCore platform and related services (collectively, the “Services”). By using the Site or Services, you agree to the practices described here.
1. Scope & who we are
InsureCore provides software for insurance agencies, including a cloud call center, compliance scoring, customer-relationship management (CRM), and commission management. This policy applies to information we process as a business about visitors to our Site and about users who interact with us directly.
When we provide the Services to a customer (an insurance agency or organization), that customer is generally the controller of the end-customer and call data processed in their workspace, and InsureCore acts as a service provider / processor on their behalf, subject to our agreement with them. This policy does not govern our customers' own privacy practices.
2. Information we collect
Information you provide
- Contact & demo requests: name, work email, company/agency name, team size, and any message you send us through forms or email.
- Account information: if you use the Services, details such as your name, email, role, and organization.
- Communications: messages, support requests, and correspondence with our team.
Information collected automatically
- Device & usage data: IP address, browser type, pages viewed, referring pages, and timestamps.
- Cookies & similar technologies: see Cookies & analytics below.
Information processed within the platform
- Call data: call recordings, transcripts, metadata (such as call times, durations, and dispositions), and AI-generated compliance scores, processed on behalf of our customers.
- CRM & commission data: lead, contact, deal, policy, and commission records entered by our customers' users.
3. How we use information
- To provide, operate, maintain, and improve the Site and Services.
- To respond to demo requests, inquiries, and support needs.
- To generate compliance scores and analytics for our customers.
- To secure the Services, prevent fraud and abuse, and enforce our terms.
- To comply with legal obligations and respond to lawful requests.
- To send service-related and, where permitted, marketing communications (you can opt out at any time).
We do not sell your personal information. See California / U.S. state rights for more on “sale” and “sharing.”
4. Call recording & transcription
The Services enable our customers to record and transcribe telephone calls and to generate AI compliance scores from those recordings. Call recording laws vary by jurisdiction and may require notice to, or consent from, one or more parties to a call (and may implicate laws such as the Telephone Consumer Protection Act and state wiretapping/recording statutes).
Our customers are responsible for configuring and using recording, disclosures, and consent in compliance with applicable laws for their calls. If you are an individual who received a call from an agency that uses InsureCore, please direct recording and privacy questions to that agency, which controls those communications.
5. Cookies & analytics
We use cookies and similar technologies to operate the Site, remember preferences, and understand how the Site is used. We may use privacy-focused analytics, such as Cloudflare Web Analytics, to measure aggregate traffic. Where we use analytics that rely on cookies or comparable identifiers, we do so consistent with applicable law.
- Essential cookies are necessary for the Site to function.
- Analytics cookies help us understand usage and improve the Site.
You can control cookies through your browser settings. Disabling some cookies may affect Site functionality. Where required, we honor recognized opt-out preference signals such as Global Privacy Control (GPC).
6. How we share information
We share personal information only as described below:
- Service providers / subprocessors: vendors that help us run the Services — for example, cloud hosting, telephony, speech-to-text transcription, AI processing, email delivery, and analytics — under contracts that limit their use of the information.
- Our customers: data processed within a customer's workspace is made available to that customer and its authorized users.
- Legal & safety: when required by law, regulation, legal process, or to protect rights, safety, and the integrity of the Services.
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.
7. Data retention
We retain personal information for as long as needed to provide the Services, fulfill the purposes described in this policy, comply with legal obligations, resolve disputes, and enforce agreements. Data processed on behalf of customers is retained according to our agreements with them and their configured settings. When information is no longer needed, we delete or de-identify it.
8. Security
We use administrative, technical, and organizational measures designed to protect personal information, including encryption in transit, access controls, and role-based permissions. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to object to or restrict certain processing. To exercise these rights, contact us at info@insurecore.ai. We will respond as required by applicable law. If our customer controls your data, we may direct your request to that customer.
10. California / U.S. state rights
If you are a resident of California or another U.S. state with a comprehensive privacy law, you may have additional rights, including the rights to know, access, correct, delete, and to opt out of the “sale” or “sharing” of personal information and certain targeted advertising.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. To make a request or ask about these rights, email info@insurecore.ai with the subject line “Privacy Request.” We will not discriminate against you for exercising your rights, and you may use an authorized agent where permitted.
11. Children's privacy
The Site and Services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Site or Services after changes take effect constitutes acceptance of the updated policy.
